The policy is addressed to users, visiting the website https://www.nusod.net and using the services included in the website, such as the online submission, online conference registration, and contact form. Hereafter, the website and its related services will be collectively referred to as the Website. The Policy describes the principles of collecting and using the data of users of the Website, which are collected directly from them or through cookies and similar technologies.
Data controller and contact.

Scope of data collected.
- When you visit the Website, data related to your activity, such as time spent on the site, search phrases, number of sub-pages viewed, date and source of the visit, are collected automatically.
- The user may provide his/her data to submit a conference abstract and register for the conference. The form requires identification and contact information to the extent necessary to submit the manuscript, register for the conference, and pay the registration fee.
- The Website allows you to contact the Administrator and provide him with identification and contact information, as well as related to the content of the message.
Data source.
1. We collect data directly from users.
2. The user can provide the data of another person entitled to submit the manuscript and register for the conference. Then he is the source of the data of the recipient of the order.
Purpose and legal basis for processing personal data.
Data may be processed for:
- analyzing web traffic, ensuring security on the Site and customizing content for users based on the Administrator’s legitimate interest (Article 6(1)(f) GDRP);
- to provide answers to inquiries and to conduct correspondence in order to settle the matter, based on consent and the Administrator’s legitimate interest in fulfilling users’ requests (Article 6(1)(a) and (f) GDRP);
- processing and evaluating submitted abstracts;
- conference resistration through the online store, based on a remote contract (Article 6(1)(b) GDRP);
- processing of complaints, based on the legitimate interest of the vendor (Article 6(1)(f) GDRP);
- To promote future editions of the NUSOD conference, based on the user’s consent (Article 6(1)(a) of the GDRP).
The right to withdraw consent.
If consent is the basis for data processing, you can withdraw it at any time using the contact information available on the Website. The withdrawal of consent does not affect the lawfulness of processing that was carried out previously.
Obligation or voluntariness of providing data
- Provision of data is voluntary, but necessary. Failure to provide them will prevent respectively:
- considering sumbitted abstracts for presentation during the conference;
- registering for the conference;
- processing of complaints;
- receiving an answer to the question asked.
- Providing data necessary for static analysis of users of the Website is voluntary. You can use the so-called incognito mode to browse the site without providing the Administrator with information about your visit to the Website. Using the incognito mode, and therefore not providing data, does not affect the ability to use the Website.
Rights under the GDRP regarding the data processed
Each user of the Service has the right:
- request from the Administrator to inspect their data, as well as to receive a copy of it (Article 15 of the GDRP);
- request the Administrator to correct or rectify data (Article 16 of the GDRP) — with regard to the request for rectification of data, when it notices that the data is incorrect or incomplete;
- demand that the Administrator delete the data (Article 17 of the GDRP);
- request the Administrator to restrict processing (18 GDRP): e.g. when he/she notices that the data is inaccurate, he/she can request a restriction of the processing of his/her data for a period that allows us to verify the accuracy of the data);
- lodge a complaint in connection with the processing of personal data by the Administrator to the President of the Office for Personal Data Protection (https://uodo.gov.pl).
Recipients of personal data
Recipients of personal data may only be entities that are entitled to receive them under the law.
Personal data will be stored:
- concerning settlements for 5 years following the year in which the tax obligation related to the order occurred;
- until the consent is withdrawn or until the case is settled, and then until the expiration of the statute of limitations for the parties’ claims related to its execution;
- in the case of complaints, until the statute of limitations for any claims
- related to web traffic analysis collected through cookies and similar technologies may be stored until the cookie expires. Some cookies never expire, so the length of time the data is stored will be equivalent to the time necessary for the Administrator to fulfill the purposes of data collection, such as ensuring security and analyzing historical data related to site traffic.
Transfer of data to a third country or international organization
Your data will not be transferred to any countries nor organization outside EU. Valid receipents of your data are:
- Politechnico di Torino represented by the NUSOD Program Chair Paolo Bardella, regarding processing and evaluation of the submitted abstract.
- PayU SA lotated at ul. Grunwaldzka 186, 60-166 Poznań, Poland, regarding processing of on-line card payment
Use of cookies and similar technologies
The site allows the collection of user information through cookies and similar technologies, the use of which most often involves the installation of this tool on the user’s device (computer, smartphone, etc.). This information is used to remember the user’s decisions (choice of font, contrast, acceptance of the policy), maintain the user’s session (e.g. after logging in), collect information about the user’s device and his/her visit for security purposes, but also to analyze visits and customize content.
Information obtained through cookies and similar technologies is not combined with other data of users of the Website, nor is it used to identify them by the Administrator.
The user has the ability to set the browser to block certain types of cookies and other technologies, by specifying, for example, that only those necessary for the correct display of the site will be allowed. By default, most browsers allow the use of all cookies, but the user has the option to change these settings at any time, and can also delete cookies already installed. Each browser allows this through one of the options available in the settings or preferences.
Users also have the option of using the site in the so-called incognito mode, which blocks the collection of data about their visit.
In addition, the Administrator may use cookies and similar technologies for marketing and analytical purposes, but only with the User’s voluntary and explicit consent, which is requested through the appropriate technical solutions available on the Website. The User may change the settings for the use of cookies at any time.
The Policy is effective until the date of its revocation. The user will be informed of the change of the Policy, by republishing it on the Website and an appropriate message.
